Guide for Participants

RESERVATIONS & REGISTRATION

Reservations

To make a reservation all participants of the Conference are kindly requested to fill in the Registration Form attached and to send the Credit Card Authorization Form by fax to Holiday Travel no later than September 6, 2007. After that date reservations are subject to availability of space and rates.

Payments

Please be informed that one night’s deposit will be charged at the time of making the reservation. Upon receipt of the deposit the final confirmation of the reservation will be sent to the participant at his/her e-mail address.
Full payment for the stay will be required 6 weeks prior to the Conference (credit card charge). Participants staying at the Sheraton Hotel will settle their accounts directly with the hotel upon check-out.

Changes & cancellations

All changes of the reservations will be performed by Holiday Travel and must be made in writing.
Cancellation of reservations after September 6, 2007 will be subject to one night cancellation fee with exception to Mercure Hotel, which charges for the full length of stay.

Invoices

Invoices for hotel accommodation will be available at the Conference registration desk during the Conference (for the participants staying at Hyatt, Mercure and MDM hotels). Guests staying at Sheraton Hotel will receive their invoices at hotels’ reception desk at the time of payment for their room.

Registration to the Conference

The participants of the Conference are kindly requested to register by using the Registration Form, respectively for signatory/observer countries and organizations.

Please kindly note, that participation could not be extended to countries and organisations without signatory or observer status to the MCPFE (List of participants) and their registration could not be accepted.

In order to facilitate a proper organisation of the Conference we would be very grateful if you could consider at your earliest convenience your country’s/organisation’s participation in the Conference and notify Holiday Travel how many delegates might represent your country/organisation.

We would recommend that the number of delegates should not be exceeded: 5 delegates for the signatory countries and the EU, 3 delegates for the observer countries and 2 delegates for the observer organisations, if possible.
